Position Title  Executive Assistant – Full-Time/Hybrid (Oakland, CA)

Position Summary

As senior level support, the Executive Assistant is the primary point of contact and trusted partner to the executive and their office. To be successful, you must provide a focused level of attention to the executive, naturally build and maintain strong relationships within the Company and with its business partners, be flexible and easily assess and align priorities. You will have capable problem-solving abilities and effective communication skills that employ both discretion and diplomacy intuitively. 

Responsibilities:

  • Trusted Partner – As a partner to the executive, and representative of their office, you embody XLI’s purpose and core values. You’ll meet regularly with the executive to structure priorities. Apply emotional intelligence skills and interpersonal communications in order to anticipate and support the needs of the executive.  Maintain strict confidentiality and discretion when handling day-to-day matters including prioritizing and juggling meetings, creating space for meetings and work time, filtering distractions, while forging trusted relationships on behalf of the executive with internal and external constituents. 
  • Reliable “Go To” Resource - Initiates and responds to informational requests including policies, procedures and regulations, report preparation, and correct source for answers.  
  • Outlook Calendar Management – Proactively plan and manage calendar.  Requires ability to anticipate, plan ahead, and use judgement to prioritize requests.  Communicates with executive/s in advance to keep apprised of what’s ahead, maintains alignment with executive/s on priorities, and carves out dedicated time for planning/strategy/reflection.  Collaborates and communicates (verbally and electronically) with other admins to make priority meetings possible. 
  • Correspondence Creation & Coordination - Creates, types, and edits correspondence, prepares documents, compiles material for presentations, prepares presentations and communication packages. Complete necessary meeting materials in time for scheduled meeting. In this capacity, regularly engages in variety of contacts inside and outside organization, interacting with high level management. 
  • Event Planning – Thoughtful coordination and preparation of departmental/team events, including calendaring, communication and follow through, contract negotiation, document preparation, catering, setup and clean-up of space. Provide support, as requested by the Corporate Events Manager, for large scale company wide events.
  • Travel Planning – Thoughtful planning and scheduling, calendaring, communication and follow through regarding travel arrangements, updates and changes. Ability to plan travel in way that supports the executive in achieving the purpose of the trip and allowing time for other decision making/misc. work requirements. 
  • Expense Reporting – Coding and tracking required to submit monthly expense reports.
  • Budget Planning –Reconciliation and forecasting for executive office budgets.
  • Mentorship – Willingness and ability to invite others in for support, delegating responsibilities based on capability and appropriateness of task/responsibility.  Inspires learning and growth, providing mentorship and opportunities for others on the admin team in support of others and readying them for future career growth opportunities.  
  • Special Projects – Willing and able to execute and/or project manage various assignment as needed.  Examples could include provide research and administrative support to special projects, preparing data, reports, analysis and follow-up on projects in a timely manner; take dictation and/or transcribe from handwritten material or other source; attend meetings and capture notes and key action items and sharing back with meeting attendees; type, format, and proofread a variety of materials including correspondence, memos, reports, charts, statistics, minutes of meetings, etc. 
  • Document Management & Process Control – Organizing and filing, manually and electronically as applicable. Make recommendations for process improvements when needed.

Qualifications:

  • Bachelor’s degree preferred
  • 4+ years’ experience providing executive level administrative support
  • Technology Savvy – experience working with various technological components (PCs, smart phones, tablets) and their work-related applications. Video conferencing and other remote work tools. Ability to provide basic trouble shooting support.

Additional Information:

Starting compensation for this role typically ranges between $91,000 and $117,000.       Business Development Director, Science & Advance Technology

      Responsibilities:     
      • Provide Business Acquisition and Business Development acumen and leadership 
      • Lead business development meetings and initiatives
      • Develop strategy in conjunction with the BUL and PX to identify, qualify and force-rank clients and projects
      • Lead and manage the Business Acquisition Workbook relating to client and project opportunities within the 1-3month, 3month-1year and 1year-3year market outlooks

      This position reports directly to and is responsible for delivering administrative and specialized support to the Vice President of Field Operations and the department. To be successful, this position will function as a dynamic member of Field Operations to collaborate and assist their team members to focus on achieving goals and advancing program initiatives. The ability to self-assess, manage time and priorities, pay sharp attention to detail, strive to build and maintain strong relationships, and use of best judgement and discretion are required.

       Responsibilities:

      • Primary point of contact for field labor coordination needs
      • Communicate detailed information, such as time and specific locations to dispatch(ed) resources and ensure appropriate resources are allocated
      • Coordinate internal Safety Training and external Union Tradesmen Field Training
      • Outlook Calendar Management – Proactively plan and manage calendar for Vice President of Field Operations.       • Development Dashboard – Set up all new personnel with the development dashboard in Smartsheet.
      • Improve, create, and maintain Field Operations procedures.
      • Onboarding of all Field new hires. Set up their first 90 days with meetings, their advisor, and dashboard.
      • Leads the process and builds PowerPoint presentations for quarterly Superintendent meetings, including logistical coordination, materials, and breakout sessions.
      • Work directly with Superintendents on quarterly Foremen meetings, including logistical coordination and catering.
      • Monthly Field Safety meeting, works with presenters to get them set up and have them finalize the PPT.
      • Arrange offsite conferences including registration and all travel arrangements for the group.
      • Work with project teams to coordinate Jobsite visits, may include catering.
      • Organize offsite 1:1’s with Superintendents. This includes establishing a location that is convenient for Super as well as providing proper travel time for all.
      • Plan and align all GS meetings, including quarterly offsite meetings.
      • Act as a department liaison to field operations.

      UBE Manager

      Supplier Diversity/UBE Manager

      Position Summary The position reports to the VP, Integrated Solutions and is the steward of XL’s cultural value proposition with underutilized business enterprises. A partner with our executive leadership to help develop and support a strong compliance program. Guides and trains project teams to ensure that all staff whose work involves participation and engagement with these firms are fully aware of the XL requirements. Acts as the public face of XL within the local community and at supplier diversity business events.

      Work location will be Hybrid model – requirement to work from XL offices, job sites, and locations in and around the Bay Area & Sacramento regions.

      Responsibilities for this position include the following:
       
      • Develop, finalize, and implement UBE Engagement and Workforce Compliance documentation. 
      • Work with management and project teams to fulfill the company’s values with respect to supplier diversity and align with wider XL Industries goals. 
      • Conduct regular audits of company projects, departments, offices, and employees to ensure that they are following XLC’s UBE best practices.  
      • Educate, train, and raise awareness around the UBE and Local Workforce Engagement Program to ensure a proper understanding by all employees whose work involves participation with UBE firms. 
      • Organize UBE events and represent XLC in the supplier community. 
      • Partner with local, community, city, state, federal, and other organizations that advocate for UBEs and/or workforce compliance to fully understand drivers, targets, and plan to meet expectations.

      • Establish and maintain a Mentor Protégé program for UBE firms. 
      • Expand the trade partner pool of UBE trade partners and support their prequalification.

          Responsibilities:
          The role of Project Administrator (PA) is to support the project teams onsite while managing and executing the deliverables expected for the role. The position requires professional and courteous conduct as the role requires frequent internal and external communication components. The project administrator works closely and collaboratively with the project team, the accounting team, and other project administrators as part of the Project Administrator team. To be successful communication, collaboration, and a proactive approach are key.  

          Contracts & Insurance  
          • Reviews and understands the prime contract by following the terms and conditions throughout the entire project.
          • Creates and issues Subcontracts with associated exhibits and contract documents as specified by project requirements.
          • Tracks subcontracts for execution, by reviewing for any markups, or following up of any delays in processing.
          • Creates and issues subcontractors change orders and tracks for fully executed copies.   
          • Can create and track potential cost impacts within XL’s accounting and cost management software.

            Sr Project Manager, Advanced Technology

            Sr. Project Managers have direct responsibility for all aspects of a single large, complex project or for multiple small/mid-size projects. They lead all phases of a project through its life cycle, including estimating, purchasing, engineering, accounting, construction, safety, and quality assurance activities. Sr. Project Managers bring a higher level of problem solving/solution creation, risk management, communication and technical “know-how” to their team(s) and projects. Strong interpersonal skills and effective communication skills must accompany their technical skills. These enable the Sr. Project Manager to effectively train, develop, coach, and supervise team members as well as develop strong working relationships with clients and key trade partners.

             Responsibilities:

            • Lead new project pursuits, including development and management of proposals, schedules and cost estimates. Integrally involved in Business Development activities.
            • Provide expertise and leadership in design-build and design-assist relationships and other alternative project delivery methods.
            • Plan and execute the bid process for new projects to ensure depth in coverage and accuracy, and lead efforts to assess and mitigate risk exposure.
            • Demonstrate an understanding of conceptual estimation and unit costs.
            • Develop conceptual and detailed estimates throughout preconstruction and construction, including development, management, and submission of project GMP estimates and internal project budgets.
            • Develop contracts that protect XL from unnecessary risk and enhance fee opportunities.
            • Lead the subcontractor buyout and selection process including the development and execution of subcontract agreements. Demonstrate a working knowledge of contract terms and the ability to resolve subcontract issues without oversight. 
            • Perform and supervise all aspects of project management on more complex or multiple projects; including, all estimating, preconstruction activities, procurement, submittals, change orders, RFIs, budgeting, financial reporting, cost forecasting/management, billing, schedule adherence, quality control, turnover/close-out, etc. Successfully overcome challenges and resolve any issues the projects and/or teams present.
            • Ensure project permits, inspections, tests, and procurement activities are done well and don’t lead to schedule challenges.
            • Develop and maintain positive relationships with project team(s), clients, owner’s representatives, design team, subcontractors, and others. Manage all OAC activities; including meetings and all other communication with these groups, to ensure positive, long-term relationships are maintained.
            • Ensure the effective use of available resources to increase the efficiency and effectiveness of the team and the project(s); i.e. Construction Technology, Sustainability, Lean practices, and self-perform work.
            • Work collaboratively with Superintendent(s) and field management to plan, organize, and direct site activities. Lead efforts to resolve issues or challenges in the field.
            • Supervise project staff and take responsibility for their training and development.
            • Champion XL culture & policies and procedures and demonstrate the highest level of ethics and professionalism.
            • Actively promote XL’s safety culture and practices. Provide insight and supervision for the development and maintenance of construction safety policies, procedures, and practices. Participate in project safety meetings and reinforce program objectives.


            Knowledge, Skills, and Abilities:

            • Bachelor’s degree in construction management, Engineering, or related field. 
            • 10+ years of progressive experience and a strong project background in our Advanced Technology market sector, including a project portfolio with key market clients, building types, and varied delivery methods.
            • Industry certifications/accreditation, including OSHA 10, LEED AP, and/or DBIA. 
            • Proficient with scheduling, budgeting, and estimating softwares.
            • Ability to develop a detailed project schedule.
            • Strong interpersonal communication skills and proven ability to effectively lead teams.
            • Strong skill set as a builder and in project management, with a solid record of success.

            Safety Engineer

                     Responsibilities:

            • Assist and support the Director of Safety and Risk Management with the implementation of company safety policies and procedures with the purpose of preventing accidents and injuries.
            • Participate in the daily construction job site inspection program for the purpose of correcting unsafe conditions and unsafe work practices.  
            • Oversight of all aspects of safety program implementation at the project level. 
            • Attend and often lead weekly site safety meetings and specific pre-task planning meetings with subcontractors. 
            • Keep current on best practices and regularly attend specific industry training in hazardous material remediation, confined space work, fall protection, electrical safety, personal protective equipment, and many other aspects of worker safety and environmental compliance. 
            • Act as a resource for each project team to utilize in meeting the challenges of providing safe and quality construction services to our clients. 
            • Assist in accident investigations to determine the causal factors and implement corrective actions. 
            • Prepare relevant statistical information for a measurement of project safety performance.  
            • Perform other Safety related duties as assigned by the Director of Safety and Risk Management.

              Knowledge, Skills, and Abilities:

            • Associate Degree in Environmental Health & Safety or equivalent combination of experience, including a CSP (Certified Safety Professional) certification from the BCSP. 
            • A minimum of 7-10 years in construction at the foreman level or above. 
            • Must be a Self-Starter who is capable of working independently. 
            • Strong verbal and written communication skills. 
            • 3-5 years of direct experience in construction safety. 
            Additional information: Starting compensation for this role typically ranges between $120,000 and $130,000. Individual pay is determined based on several factors, including, but not limited to, work experience and job knowledge, complexity of the role, job location, etc. Your recruiter can share additional details during the interview process.
