Business Development Director, Science & Advance Technology          Responsibilities:     
  • Provide Business Acquisition and Business Development acumen and leadership 
  • Lead business development meetings and initiatives
  • Develop strategy in conjunction with the BUL and PX to identify, qualify and force-rank clients and projects
  • Lead and manage the Business Acquisition Workbook relating to client and project opportunities within the 1-3month, 3month-1year and 1year-3year market outlooks
  • Identify business unit top ten opportunities
  • Responsible to identify and qualify with the team a determined amount of project revenues to meet the BUs yearly revenue goals
  • Development and maintenance of market specific Touch Matrix
  • Works with BUL and PX to build business development plan(s)
  • Lead project pursuit meeting(s), keep meeting minutes and document/archive minutes as required
  • Review weekly Cosential reports and update with CRM lead, BULs and PX weekly and monthly
  • Participation in market segment networking venues
  • Focus on developing and maintaining relationships with market specific designers, consultants, market influencers, construction managers and clients
  • Intro BULs and PXs to relationships with key market contacts to expand XL’s network
  • Manage the BD budget and calendar
  • Manage and maintain market specific forecasting and reporting data
  • Participate in market specific organizations and conferences
  • Input market trends and opportunities into BU Business Plans
  • Lead and support the development of new opportunities
  • Attends select Industry Organizations to promote XL and participates on committees
  • Identifies what Architect / Engineer / Broker/ PM firms to target based on opportunities and Business Plans
  • Direct and create XL initiated events which would include mixers, parties, golf tournaments, concerts, games and misc BD events. Work with marketing to Plan and execute.
  • Lead the effort to create meaningful Exec. Summaries for selected clients and pursuits
  • Lead the storyboarding effort for selected targets
  • Develop topics and agendas to support communication with MSL’s and BD efforts
  • Assist with Client Surveys in coordination with Marketing and required OPS and Client follow-up
  • Coordinate Business Development efforts for cross market pursuits and opportunities
  • Provide training and mentor selected individuals to develop and hone business acquisition skills
  • Identify key pursuits that can benefit from an outside interview coach or consultant
Knowledge, Skills, and Abilities:     
  • Proven understanding of the Northern California Science and Advance Technology Markets and associated Market players and influencers
  • BA/BS degree desirable or verifiable relevant market experience
  • 15-20 years of experience as a business development professional in design/construction/real estate industry related to the noted market(s)
  • History of bringing in closable opportunities
  • Proven ability to secure projects (resulted in secured work)
  • Comfortable presenting to an audience and managing business development events
  • Well connected to the local design/construction/ real estate community, trade organizations
  • General understanding of the design and construction industry and project delivery method

Field Operations Administrator

Milpitas, California

Field Operations Administrator - Full-Time

Location: Milpitas, CA

Work schedule: Mon-Thurs onsite
Fri WFH (as necessary)
      

This position reports directly to and is responsible for delivering administrative and specialized support to the Vice President of Field Operations and the department. To be successful, this position will function as a dynamic member of Field Operations to collaborate and assist their team members to focus on achieving goals and advancing program initiatives. The ability to self-assess, manage time and priorities, pay sharp attention to detail, strive to build and maintain strong relationships, and use of best judgement and discretion are required.

 Responsibilities:

  • Primary point of contact for field labor coordination needs
  • Communicate detailed information, such as time and specific locations to dispatch(ed) resources and ensure appropriate resources are allocated
  • Coordinate internal Safety Training and external Union Tradesmen Field Training
  • Outlook Calendar Management – Proactively plan and manage calendar for Vice President of Field Operations. Requires ability to anticipate, plan ahead, and use judgement to prioritize requests.  Communicates with leader in advance to keep apprised of what’s ahead, maintains alignment with leader on priorities, and carves out dedicated time for planning/strategy/reflection.  Collaborates and communicates (verbally and electronically) with other admins to make priority meetings possible.
  • Special Projects – Willing and able to execute and/or project manage various assignment as needed.  Examples could include provide research and administrative support to special projects, preparing data, reports, analysis and follow-up on projects in a timely manner; take dictation and/or transcribe from handwritten material or other source; attend meetings and capture notes and key action items and sharing back with meeting attendees; type, format, and proofread a variety of materials including correspondence, memos, reports, charts, statistics, minutes of meetings, etc.
  • Document Management & Process Control – Organizing and filing, manually and electronically as applicable. Make recommendations for process improvements when needed. Many of the special projects and examples are included, but not limited to those listed below.
  • Superintendent Execution Playbook – the FOA is the lead for keeping this updated and assists in developing procedures on how documents get added and are posted on MILO.
  • Quality Control – Work with Field Operations to support the development and implementation of the QC program.
  • Development Dashboard – Set up all new personnel with the development dashboard in Smartsheet.
  • Improve, create, and maintain Field Operations procedures.
  • Onboarding of all Field new hires. Set up their first 90 days with meetings, their advisor, and dashboard.
  • Leads the process and builds PowerPoint presentations for quarterly Superintendent meetings, including logistical coordination, materials, and breakout sessions.
  • Work directly with Superintendents on quarterly Foremen meetings, including logistical coordination and catering.
  • Monthly Field Safety meeting, works with presenters to get them set up and have them finalize the PPT.
  • Arrange offsite conferences including registration and all travel arrangements for the group.
  • Work with project teams to coordinate Jobsite visits, may include catering.
  • Organize offsite 1:1’s with Superintendents. This includes establishing a location that is convenient for Super as well as providing proper travel time for all.
  • Plan and align all GS meetings, including quarterly offsite meetings.
  • Act as a department liaison to field operations.

 Knowledge, Skills, and Abilities:

  • Associate or Bachelor’s degree preferred
  • Work experience at a project construction site is preferred
  • Proficiency with MS Office Suite – Outlook, Word, Excel, PowerPoint. Procore and Labor Chart a plus
  • Technology Savvy – experience working with various technological components (PCs, smart phones, tablets) and their work-related applications. Video conferencing and other remote work tools. Ability to provide basic trouble shooting support

Sr Superintendent (cGMP)

A Senior Project Superintendent must have 10+ years’ progressive field leadership experience within the Bay Area in technical construction projects. This person will be responsible (with the Project Manager) for the overall success.  The Senior Superintendent is a key participant in training XL employees and promoting company policy and procedures while providing the core leadership required to guide the project team and subcontractors to success. Responsibilities:
  • Promote and able to execute efficient operational execution of a project as a leader.
  • Develop and maintain project schedule with XL process including monthly, weekly look ahead and lean principles.
  • Review project status in the field and with staff to maintain a deep understanding of the field.
  • Project resources for quality, safety, schedule, constructability, and risk avoidance.
  • Collaboration with clients, designers and stakeholders on design issues and coordination.
  • Coordination with trades for all scopes of work with trades and SPW.
  • Identify daily milestones and formulate a plan for task completion.
  • Resource allocation for field staff.
  • Lead meetings internally and with clients, stakeholders, designers, and trades.
  • Support business development and project pursuits.
  • Assist with building schedules, developing logistics and approach for pursuits.
  • Catalytic coaching and mentoring of direct reports and craft.

  • 4-year degree preferred 
  • Knowledge of the life science product development life cycle from research to commercialization and has experience building development, pilot, and manufacturing spaces under cGMP regulations.

Project Administrator

Reports to: Project Administrator Manager  Schedule: Full-Time  Responsibilities:  The role of Project Administrator (PA) is to support the project teams onsite, while managing and executing the deliverables expected for the role. The position requires professional and courteous conduct as the role requires frequent internal and external communication components. The project administrator works closely and collaboratively with the project team, the accounting team, and other project administrators as part of the Project Administrator team. To be successful communication, collaboration, and a proactive approach are key.   Contracts & Insurance  
  • Reviews and understands the prime contract by following the terms and conditions throughout the entire project.
  • Creates and issues Subcontracts with associated exhibits and contract documents as specified by project requirements.
  • Tracks subcontracts for execution, by reviewing for any markups, or following up of any delays in processing.
  • Creates and issues subcontractors change orders and tracks for fully executed copies.   
  • Can create and track potential cost impacts within XL’s accounting and cost management software.
  • Manages, tracks, and obtains insurance certificates as required.
  • Manages, tracks, and maintains any insurance programs (OCIP, CCIP, etc.) as required by Owner or project.
  • Reviews and communicates with subcontractors their statuses and requirements for compliance.
Billing
  • Manages, creates, and submits monthly pay application for project(s).
    • This includes Sub pay app verification for ensuring subcontractors have XL’s required billing documents, schedule of values, and sub conditional waiver.
    • Reviews, codes, and approves all invoices for the project.
    • Reviews cost reports for coding and labor rate accuracy. Ensuring monthly all items are being accounted and invoiced for.
    • Creating XL’s compiled pay app which will include an industry standard G702, schedule of values, associated back-up and any additional billing documents as required by Owner.
    • Works to resolve any billing questions the Owner may have.
  • Manages, creates, and submits retention invoice(s) to Owner.
  • Understands Owner billing requirements and adheres to requirements monthly when submitting the pay application.  
  • Tracks and manages lien waiver logs as required by Owner or project.
  • Reviews reporting to support and aid in development of the monthly pay application.
  • Tracks for payment from Owner as well as to our subcontractors.
  • Understands and works in XL’s and Owners billing software systems as needed to complete the monthly pay application process.
Admin Support
  • Prepares preliminary lien notice to the Owner. 
  • Keeps project files (electronic and if needed hard copy) complete, accurate, and up to date.
  • Maintains project information in company software systems.
  • Pulls permits from the city for project team as needed.
  • Manages, tracks, collects, and packages closeout documents as required by Owner and project. This can include closeout binders to Owner, and archiving of materials such as permits and as-builts.
  • Supports team with trailer jobsite set-up and demobilizing of trailer.
  • Assists with collecting prequal information or other required forms as needed for setting up new vendors or maintaining status for current vendors.
  • Can support team with reviewing, maintaining, and tracking drawing sets and specs during course of project.
  • Supports the Project Manager with new job setup such as:
    • Getting Insurance established
    • Helping complete internal new job setup forms
    • Ensuring labor rates are set up accurately with accordance of Contract terms.
    • Various other start up related items as needed by PM.
  • Manages various jobsite needs such as:
    • Ordering supplies
    • Coordinating fixes to any office equipment
    • Jobsite event coordination
    • Ordering lunches
  • Tracking as required for: PLA requirements, Skilled & Trained reports, Certified Payroll requirements, UBE tracking, R&D tax credit, and others.
  • Any other tasks or duties as assigned or required by the project team to support project teams in a dynamic field environment.
 Knowledge, Skills, and Abilities: 
  • Bachelor's degree is preferred. 
  • 3+ years of experience in a project administrator role or similar position.
  • Accounting/Finance project experience is a plus.
  • Excellent computer, office equipment, and software skills (Microsoft 365 and/or Google Workspace) 
  • Excellent reading, writing, and personal communication skills are required.

    Sr Project Manager, Advanced Technology

    Sr. Project Managers have direct responsibility for all aspects of a single large, complex project or for multiple small/mid-size projects. They lead all phases of a project through its life cycle, including estimating, purchasing, engineering, accounting, construction, safety, and quality assurance activities. Sr. Project Managers bring a higher level of problem solving/solution creation, risk management, communication and technical “know-how” to their team(s) and projects. Strong interpersonal skills and effective communication skills must accompany their technical skills. These enable the Sr. Project Manager to effectively train, develop, coach, and supervise team members as well as develop strong working relationships with clients and key trade partners. Responsibilities:
    • Lead new project pursuits, including development and management of proposals, schedules and cost estimates. Integrally involved in Business Development activities.
    • Provide expertise and leadership in design-build and design-assist relationships and other alternative project delivery methods.
    • Plan and execute the bid process for new projects to ensure depth in coverage and accuracy, and lead efforts to assess and mitigate risk exposure.
    • Demonstrate an understanding of conceptual estimation and unit costs.
    • Develop conceptual and detailed estimates throughout preconstruction and construction, including development, management, and submission of project GMP estimates and internal project budgets.
    • Develop contracts that protect XL from unnecessary risk and enhance fee opportunities.
    • Lead the subcontractor buy out and selection process including the development and execution of subcontract agreements. Demonstrate a working knowledge of contract terms and the ability to resolve any subcontract issues without oversight. 
    • Perform and supervise all aspects of project management on more complex or multiple projects; including, all estimating, preconstruction activities, procurement, submittals, change orders, RFIs, budgeting, financial reporting, cost forecasting/management, billing, schedule adherence, quality control, turnover/close-out, etc. Successfully overcome challenges and resolve any issues the projects and/or teams presents.
    • Ensure project permits, inspections, tests and procurement activities are done well and don’t lead to schedule challenges. 
    • Develop and maintain positive relationships with project team(s), client's, owner’s representatives, design team, subcontractors, and others. Manage all OAC activities; including meetings and all other communication with these groups, to ensure positive, long-term relationships are maintained.
    • Ensure the effective use of available resources to increase the efficiency and effectiveness of the team and the project(s); i.e. Construction Technology, Sustainability, Lean practices, and self perform work.
    • Work collaboratively with Superintendent(s) and field management to plan, organize and direct site activities. Lead efforts to resolve issues or challenges in the field.
    • Supervise project staff and take responsibility for their training and development.
    • Champion XL culture & policies and procedures and demonstrate the highest level of ethics and professionalism.
    • Actively promote XL’s safety culture and practices. Provide insight and supervision for the development and maintenance of construction safety policies, procedures, and practices. Participate in project safety meetings and reinforce program objectives.

    • Bachelor’s degree in construction management, Engineering, or related field. 
    • 10+ years progressive experience strong project background in our Advanced Technology market sector, including a project portfolio with key market clients, building types, and varied delivery methods.
    • Industry certifications/accreditation, including OSHA 10, LEED AP, and/or DBIA. 
    • Proficient with scheduling, budgeting and estimating softwares.
    • Ability to develop a detailed project schedule.
    • Strong interpersonal communication skills and proven ability to effectively lead teams.

    Safety Engineer

    Safety San Francisco, California
    Responsibilities:
    • Assist and support the Director of Safety and Risk Management with the implementation of company safety policies and procedures with the purpose of preventing accidents and injuries.
    • Participate in the daily construction jobsite inspection program for the purpose of correcting unsafe conditions and unsafe work practices.  
    • Oversight of all aspects of safety program implementation at the project level. 
    • Attend and often lead weekly site safety meetings and specific pre-task planning meetings with subcontractors. 
    • Keep current on best practices and regularly attend specific industry training in hazardous material remediation, confined space work, fall protection, electrical safety, personal protective equipment and many other aspects of worker safety and environmental compliance. 
    • Act as a resource for each project team to utilize in meeting the challenges of providing safe and quality construction services to our clients. 
    • Assist in accident investigations to determine the causal factors and implement corrective actions. 
    • Prepare relevant statistical information for a measurement of project safety performance.  
    • Perform other Safety related duties as assigned by the Director of Safety and Risk Management.

    Knowledge, Skills and Abilities:
    • Associate Degree in Environmental Health & Safety or equivalent combination of experience, including a CSP (Certified Safety Professional) certification from the BCSP. 
    • A minimum of 7-10 years in construction at the foreman level or above. 
    • Must be a Self-Starter who is capable of working independently. 
    • Strong verbal and written communication skills. 
    • 3-5 years of direct experience in construction safety.

    Schedule Manager

    Milpitas, California
    A Schedule Manager must have 15+ years’ progressive scheduling experience in technical construction projects.  This person is responsible for providing management and oversight of all aspects of the scheduling department under Field Operations and collaborating closely with VP of Field Operations, General Superintendents, Project Executives, Preconstruction, and project teams. The Schedule Manager will play a pivotal role in overseeing and managing the scheduling aspects of construction projects from pursuit through completion.   The person brings deep knowledge of scheduling, as well as how to develop, build and manage all facets of scheduling including lean pull planning. To be successful, they must be well organized, have excellent planning and problem-solving skills, and demonstrate their ability to motivate others toward accomplishing the work at hand.

    Responsibilities:

    • Oversee the scheduling department as well as manger the schedulers including the development of their skills.
    • Development of project schedules based on experience and historical analytics to collaborate with the project superintendent or project manager on development of schedules.
    • Regularly monitor and track progress against established schedules, identifying potential delays or issues and implementing corrective actions as necessary to keep projects on track.
    • Quality control of schedules produced by XL.
    • Proficient in construction scheduling software (Primavera P6, MS Project, Smartsheet, Procore) as well as any conversions of any schedules to P6.
    • Management of Multiple Project Schedules as part of Global all Project Dashboard and historical database.
    • Cost and resource loading schedules for Earned Value Analysis (EVA) productivity and trending analytics.
    • Variance reporting and project look ahead.
    • Developing and providing schedule training to others within the organization.
    • Provide scheduling assistance for pre-construction projects (RFP).
    • Assist project teams to ensure delays are adequately documented.
    • Excellent communication skills and experience working with clients and Bay Area scheduling consultants to review schedules, delays and maintain a positive relationship.
    • Strong analytical and problem-solving skills.
    • Ability to work effectively in a fast-paced, dynamic environment.
    • Develop what if contingency options with the team for recovery/accelerate schedule.
    • Development of innovative scheduling solutions and integration with other processes.
    • Run health checks and analytical analysis on P6 schedules.
    • Continuous improvement includes developing and maintaining standards of practices for the scheduling department such as methodologies, tools, dashboards, and practices to streamline operations and enhance efficiency.
